Workday Optimisation: Get More Value with Ignite

Going live with Workday is a major milestone, but the environment you designed at implementation reflects the organisation, processes and priorities you had at that moment. A few years later, things often look quite different. The organisation has changed, new requirements have emerged and Workday itself has continued to develop. At the same time, temporary workarounds may have become permanent, functionality may remain unused and configuration decisions made years ago may no longer make sense.

Workday can therefore be running perfectly well while the organisation is still not getting everything it could from the platform. The question is no longer simply whether Workday works, but whether your current setup still supports what the organisation needs today and where it wants to go next.

Start with the business, not the configuration

Most organisations have no shortage of ideas for improving Workday. The harder part is deciding which ones actually matter. A technical issue may look urgent but have little impact on the business, while poor adoption of an existing process may be creating hours of manual work every week. A new feature might sound attractive, while simplifying an existing process could make a much bigger difference.

That is why Ignite starts with business priorities rather than immediately diving into configuration. Through structured conversations with key stakeholders, the current situation is assessed against the organisation’s strategic objectives. This establishes where the organisation is today and where it wants to be.  From there, the Workday environment can be assessed in context. Instead of asking what can we change in Workday?, the question becomes what should we change, and why?

An important part of that assessment is looking separately at Workday health and user adoption. A process can be technically well configured while employees still work around it. Equally, a process can be widely used but contain unnecessary complexity that creates extra work for HR, Finance or IT.

Ignite brings these perspectives together in Health and Adoption Heatmaps, showing which areas are performing well, where attention is needed and where functionality is underused. This helps distinguish between issues that require configuration changes, process improvements or better adoption. And just as importantly, it helps identify areas where no action is needed at all.

From findings to a Workday roadmap

Knowing what could be improved is one thing. Knowing what to do first is another.

Ignite translates the findings into a prioritised Workday roadmap across Strategy, Delivery, Technology and Change. Rather than treating every Workday request as an individual project, improvements are considered together and sequenced according to priority and effort. 

That roadmap might include improvements to existing processes, adoption initiatives, new Workday functionality, integrations or automation. It can also include preparation for AI capabilities. This is becoming increasingly relevant as Workday introduces more AI and agent-based functionality, but those capabilities still depend on the basics being right.
