Workday AI Is Free Until August 2026 | What You Need to Know

AI is no longer a future topic. It is rapidly becoming part of the way employees interact with enterprise systems and how organisations access information, complete processes and make decisions. To accelerate adoption, Workday is currently offering Sana for Workday and the Self-Service Agent free of charge until 31 August 2026. Eligible customers can use these capabilities without consuming Flex Credits and, importantly, nothing is activated automatically. Organisations remain fully in control of whether, when and how they choose to enable them. While the promotion itself is interesting, the bigger question is what these capabilities can actually do in practice.

A different way of interacting with Workday

Sana introduces a conversational experience within Workday. Instead of navigating through reports, tasks and menus, users can interact with the system using natural language. Information can be retrieved, actions initiated and workflows started through simple prompts.

For many organisations, this represents a shift from navigating Workday to conversing with Workday.

Practical use cases for employees

The most immediate application is the Self-Service Agent, which is designed to support employees with common HR-related questions and requests.

Examples include:

  • Checking holiday balances
  • Updating bank account details
  • Finding HR policies and company documentation
  • Asking onboarding-related questions
  • Requesting leave
  • Retrieving personal HR information

Many of these interactions currently result in emails, tickets or calls to HR. The Self-Service Agent aims to provide immediate answers while reducing the volume of routine requests handled by HR teams.

Practical use cases for HR, managers and analysts

The potential extends beyond employee self-service.

For HR teams, managers and analysts, Sana can support day-to-day activities such as:

  • Retrieving workforce insights using natural language
  • Drafting job descriptions
  • Generating interview questions
  • Summarising talent profiles
  • Starting Workday workflows conversationally
  • Creating reports more efficiently

These activities may seem relatively small in isolation, but together they can remove a considerable amount of administrative effort from everyday work.

Where does the business value come from?

Much of the discussion around AI focuses on future possibilities. In reality, organisations are often looking for practical outcomes. The value of Sana and the Self-Service Agent is likely to come from improvements such as:

  • Time savings for employees, managers and HR teams
  • Reduced HR workload through fewer repetitive requests
  • Faster access to information
  • Improved employee experience
  • Shorter process execution times
  • Quicker decision-making
  • Greater consistency in answers and processes

None of these benefits are particularly revolutionary on their own. However, when applied across an entire organisation, the cumulative impact can be significant.

Why now is a good time to start

Perhaps the most interesting aspect of Workday’s promotion is that organisations can explore these capabilities with relatively little risk. Nothing is enabled automatically, and customers decide whether they want to activate the required permissions and introduce the technology to users. This creates an opportunity to experiment, validate use cases, establish governance and understand adoption challenges before AI usage becomes part of long-term budget planning.

At the same time, Workday continues to invest heavily in AI and agent capabilities. The functionality available today is unlikely to be the same functionality available in a year’s time. Organisations that start learning now will be better positioned to evaluate and adopt future developments as they emerge.

The key message is not that Workday AI is free until August 2026, but that Workday AI is available today and organisations can explore it with very limited risk, and there is an opportunity to understand where it can deliver meaningful value before it becomes part of everyday Workday operations.
