Promote your safety culture and optimally manage incidents with Oracle’s Health & Safety module
Many organizations are facing major challenges relating to the health and safety of their employees. The COVID-19 pandemic made this even more clear. Luckily, there are useful tools and systems available for easily and effectively managing incidents relating to health and safety, including those involving undesirable behavior in the workplace. In this blog, Frenk Lalieu, consultant and Oracle specialist at SuccessDay, talks about the Oracle Workforce Health & Safety module.
The ability to provide a safe workplace and to conform to laws and regulations has never been more important. COVID-19 has forced HR teams to make organizational changes while at the same time safeguarding the safety and productivity of employees. This varies from monitoring employees’ frame of mind to the integration of wellbeing at work, whether in an office or factory, remote or blended. The Oracle Cloud HCM module for Health and Safety enables companies to manage health and safety incidents effectively and easily, such as virus outbreaks like COVID-19, as well as workplace incidents, from falls, cuts and constrictions to bullying and harassment. This helps create a safer workplace.
For many organizations, however, it can be challenging to get their employees to report health and safety incidents within the right timeframe. “Employees are often unsure whether they should inform their organization of near-misses or unsafe conditions”, explains Frenk. He has worked at SuccessDay since 2022 and is an Oracle HCM specialist. “I gained experience with Oracle while working for my previous employer and am impressed with the possibilities and user-friendliness of the HRIT system. When SuccessDay gave me the opportunity to further develop my skills in this area, jumped at the chance.”
Reporting incidents on time
According to Frenk, if employees are unsure when and how they should report health and safety incidents, such as near-misses or unsafe conditions, organizations run the risk of non-compliance and can find themselves in expensive, dangerous situations. The Oracle Workforce Health & Safety module helps organizations comply with legal obligations and protect their employees. The tool provides an easy, personal and secure way for employees to report actual or potential health and safety incidents.
Frenk: “The intuitive self-service tool increases employee engagement. It also minimizes the obstacles facing employees when reporting environmental, health and safety issues quickly and timely using their desktop or tablet”, explains Frenk. Employees can record critical information relating to incidents in real-time and with minimal data entry.
Once an incident has been reported, HR or a health and safety professional can easily review and follow-up on the information. Furthermore, an investigation can be initiated using focused questionnaires, and follow-up actions and notifications can be implemented to involve the whole organization. Finally, trends can be analyzed and acted upon to promote a safe working environment.
Improve health and safety results
Incidents cost a lot of money. The direct costs, such as employee compensation and medical and legal services, are often obvious. But the indirect costs of an incident should not be underestimated. Frenk: “These include things like retraining, research, corrective measures, lost productivity, equipment damage, reputational damage and costs relating to lower employee morale, absenteeism and employee retention.”
This is why it is so important to focus on prevention. “Prevention is better than a cure”, explains Frenk. User-friendliness is essential in ensuring that employees use the tool. Any obstacles that stand in the way of filing a report should be minimized. The fields are automatically filled in, based on an employee’s role and location, which helps employees record incidents quickly and easily. Employees can add extra context about the incident by taking photos or uploading notes. This enables your workforce to actively report, manage and limit problems, so that the whole organization can proactively mitigate risks and eliminate avoidable costs. “The analytics and reporting systems use Artificial Intelligence and Machine Learning to identify health and safety trends in the workplace and make recommendations”, explains the SuccessDay consultant.

Key benefits for HR
We have already mentioned the main benefits of the Oracle Health & Safety module for employees. But the benefits for HR are also evident, according to Frenk. “First of all, the system provides greater insight. Managers and HR professionals have access to health and safety objectives via dashboards and KPIs, and can make sure health and safety issues are reported on time”, he explains.
The second benefit for HR is improved compliance with laws and regulations. “HR can integrate the content of health and safety training courses into the culture of the organization using alerts and tools to notify employees of potential hazards.” The tool can also lead to reduced costs, as fewer incidents mean fewer compensation payments. Indirect costs can also be reduced if you use the system to help reduce health and safety risks. Finally, you will save time when it comes to managing the incident reporting process and have better data for analysis and reporting.
Customers who do not (yet) have an Oracle HCM package running can also use the software as the module can be integrated into the HCM packages of other suppliers.
SuccessDay can unburden organizations before, during and after the implementation of the Oracle Workforce Health & Safety module, both in terms of consultancy and by filling interim roles.
