You’ve gone live with Workday, a major milestone. But go-live is not the finish line. For many organizations, the real value of Workday only becomes visible during the post-go-live phase. One area that often needs focused attention is Workday Position Management. It’s the backbone of your headcount planning, recruitment processes, and budget control. We recently supported a global organization in rethinking and rebuilding their Workday Position Management setup, well after their initial go-live. The result is a five-phase blueprint that any organization can apply.
1. Start with a Workday Impact Assessment
After go-live, it’s easy to jump into changes. But without assessing the impact, this can lead to major downstream issues. Our first step was a thorough analysis of the existing configuration. We mapped all dependencies, especially integrations, and reviewed potential impacts on reporting and modules like Recruitment and Staffing.
Key questions we addressed:
- Which downstream systems depend on Position data?
- How will proposed changes affect existing reports?
- What is the impact on configuration in other Workday modules?
A clear assessment prevents later disruptions and provides a stable foundation for change.
2. Align Workday with Your ATS
Positions don’t exist in isolation. They are tightly connected to staffing and recruitment. In this project, we paid special attention to the link between Workday and the client’s Applicant Tracking System (ATS).
Workday was set as the single source of truth:
- Job requisitions were only created on approved positions in Workday
- Freeze or close actions on requisitions were initiated in Workday
- The process returned to Workday only once a candidate was ready to be hired

3. Involve Stakeholders Early and Often
Even the best configuration won’t succeed without the right engagement. We ensured that stakeholders from across the business were involved throughout the process, especially during testing.
What worked:
- Including real users from HR, Finance, and business teams in testing
- Assigning a Test Lead to manage test planning and execution
- Validating every step of the design from a user perspective
Early buy-in means fewer late-stage changes and better adoption after go-live.
4. Prioritize Clean Data and Strong Reporting
Redesigning Position Management requires data migration. We moved existing positions and requisitions into the new structure with care and precision. A dedicated Data Lead ensured accuracy and ownership.
We also developed custom reports in Workday to support the new process:
- Real-time insight for hiring managers, HR, and finance
- Data that could be passed to external systems if needed
- Improved visibility across the full employee lifecycle
Good data and reporting are not just nice to have; they’re essential for operational success.
5. Train and Support Your Users
With configuration finalized and data in place, we turned to the end users. We built clear training materials and delivered sessions to walk them through changes and responsibilities.
Training was followed by a structured hypercare phase:
- Quick access to support during the first weeks after go-live
- Clear escalation paths and communication lines
- Confidence-building support for daily users
Hypercare is the final step that ensures long-term success and adoption.
